New to Flowstate?See the Board, Frames, Tasks, Workflows and AI in a 45-second tour.
Flowstate features
Flowstate is a visual workspace for mapping ideas, planning projects, and collaborating with people and AI without losing the relationship between the big picture and the details.
Spatial planning
- Record a walkthrough of the open Project's tab or window with optional microphone, pause/resume and preview. Add it as a private Video on the Board, download it, or both, in a supported desktop browser.
- Create Table objects with cell editing, row/column insertion and deletion, drag reordering, cell swapping, column resizing and spreadsheet paste.
- Drag Task Lists, Tables, Charts, Buttons, Images, Videos and recordings, Audio, Files and Code between paragraphs inside Text, edit them inline, and move them back onto the Board. Click a composed object to edit its own Properties. Copies and restored Text preserve content.
- Format selected Text with bold, italic, underline, color, size and weight. Use the context menu or Ctrl/Cmd+B/I/U shortcuts, including Control on macOS.
- Finish titles with Enter/Return. The browser tab follows the Project name, and image detail adapts to object size, Board zoom and display pixel density.
- Play uploaded GIF animations, including earlier uploads, with Loop or Manual controls. Adjust grouped Background, Border and Playback settings in Properties.
- Edit object-specific Properties with grouped appearance, typography, planning, precise position/size and locking. Undo and redo geometry and content.
- Manage Task List hierarchy from the Board or Properties. Edit all eight Chart series and shared tabular data; display every series with signed values and gaps, or labeled per-series Pie/Donut plots. Changing type preserves the data.
- Complete empty media objects through the normal private uploader directly in Properties. Account settings has keyboard-accessible profile, security, storage/device and data sections.
- Arrange Text, Task List, Table, Image, File, Video, Audio, Code, Chart, Frame, and Artboard objects on an infinite board.
- Keep every object's complete content and controls at every Board zoom level, with the established short zoom animation and stable Text/Task layout.
- Give any object one private Media Bank background image with Cover/Contain, Top/Center/Bottom position, and adjustable image strength while retaining its normal background color and content.
- Give objects a semantic Template such as Note, Tasks, or AI Instructions, independently of visual Presets such as Sticky Note. Changing appearance does not erase the object's role.
- Every color palette starts with Default, which follows the theme, the object's own background or the enclosing Text. Objects without a chosen background are white, and objects inside Text use the Text's chosen text color by default.
- Start with plain Text, Free text, or a Sticky note, or assign the semantic AI Instructions Template; then tune title/body typography, position, Light/Normal/Medium/Bold body weight, size up to 72 px, strict custom hexadecimal colors, borders, corners, and alignment. Hide the body for a vertically centered title-only label, or leave the title empty for a plain text box that is named by its first words. Every object title can have its own color.
- Give Images rounded, square or circular corners.
- Edit multi-level Task List items directly: check, add, rename, indent/outdent, reorder within their parent from the far-left grip, or delete from the far right while keeping stable hierarchy. Enter adds the next item right below the one you are writing; Task Lists can have their own title and text colors.
- Connect objects with semantic relationships and create references between related work. Curved Connections keep smooth editable routes through explicit points; Manual routes keep intentional straight segments.
- Copy a structured selection with Ctrl/Cmd+C or right-click Copy and paste it on another Board, in another Project you can edit, or in another browser tab or window. Paste creates new server-owned object and relation IDs while preserving supported content, hierarchy, Templates, appearance, relative geometry, internal relations, and reusable authorized Assets.
- Create compact Buttons that navigate to another object in the Project, open a URL, or run an approved manual Workflow. Click the button surface to activate; use the small pencil on hover/focus (always available on touch) to edit. Shortcuts smoothly center and select their target, including on another Board. Dragging moves a Button without activating it. Public views never activate Workflow functions or expose editing controls.
- Build durable visual Workflows inside ordinary Frame-owned Boards with typed Trigger, Agent, Action, Condition, Transform, Wait, Output, and Capability steps. Execution order and Agent capabilities remain visibly separate.
- Connect through large named ports that persist exactly:
in/out, visible Conditiontrue/false, and separate Capability-to-Agent authority ports. Pointer, keyboard, reload, reconnect, and realtime views use the same port map. - Let authorized MCP, Local AI, or Bridge clients dry-run and atomically author a real Workflow through canonical v15 operations and typed same-batch references. Flowstate rejects diagram or Artboard substitutes and verifies committed Workflow state through server-authored receipts.
- Validate and approve authority before enabling signed Webhook or timezone-aware Schedule runs; inspect durable history, bounded step diagnostics, cancellation, verified receipts, and safe retry without duplicate committed Actions. Expanded step input/output stays readable during automatic status updates.
- Find Run and Runs at the top of a Workflow's menu. Runs opens the latest result with clear status, queue/execution timing, step outcomes and verified project changes. Open the affected object directly when its result includes an object and Board identity, or expand recorded input/output for the full step data.
- Start with editable report/review, Task List and open-task report templates. Fill in named input forms and choose where Actions save Text or tasks, append existing content, or read/filter Project objects without an AI service.
- Pause a Workflow for explicit owner review before later Actions. Approve to continue or reject to stop; previous changes remain visible in Runs.
- Follow runs and pending reviews across the Project in Activity, with in-app completion notices. Open Activity inside a Workflow or on a Board containing a Workflow Frame. Enable owner-approved human-change or task-completed triggers; inspect and retry failed starts without AI feedback loops.
- Move an object forward or backward by one exact visual layer, including across Artboard sketches.
- Use a white Artboard in either theme and draw across overlapping objects while later strokes and objects retain their exact shared layer order.
- Nest boards inside Frames and navigate the real containment hierarchy.
- Enter Frames in view-only mode, and focus a complete Artboard together with its visible contents without granting mutation permission.
- Choose Snap per device (Project default, Everything, Objects only, Grid only or Off): align edges and centers, repeat existing spacing, center between neighbours and match sizes, with nearby objects taking priority; Project settings choose the default. Line angles snap too; also use multi-select, layouts, minimap navigation, two-finger panning in every direction on trackpads and touch screens, pointer-centered mouse-wheel/trackpad pinch zoom, and focus mode.
- Give each root or nested Board its own optional palette background.
- Work from a phone in a dedicated touch layout: start each Project on a Today view of overdue, due and upcoming work with checkable Task Lists; pan without moving anything by accident; select first, then move, resize, edit text, connect objects or draw lines with two taps, or press and hold for actions, with Undo after every change; add objects from the dock; edit in full-screen Properties; read the Timeline as an agenda; and close every view with your phone's Back gesture.
- On tablets, keep the full editor with press-and-hold menus for objects, Connections and the Board, touch-sized handles, always-visible Task List controls and Properties that floats over the Board in portrait.
Project work
- Track tasks, status, priority, dates, progress, and project timelines with readable date labels as you zoom or resize.
- Organize objects with Project tags in Properties, including Undo/Redo, and combine status, priority, due-date and tag filters in Tasks. The wider dialog keeps all five filter/view controls together when space allows and wraps them on smaller screens.
- Open one project-wide Tasks view that includes every Task List through arbitrarily nested Frames while preserving both Frame paths and nested-item hierarchy; live changes refresh without creating a second task store.
- Search across project content and browse a structured outline.
- Keep the originating folder in real browser Back/Forward history when opening and returning from a Project.
- Follow the public Flowstate Guide for the current product model and supported workflows.
- Save project revisions and export projects as JSON, ZIP, or Markdown.
- Recover successful edits from bounded automatic history, or retain a named recovery point beyond the automatic 30-day/100-point window.
- Duplicate a Project with all of its attached and unattached Media Bank assets while keeping the copy independently manageable.
- Upload private images, documents, video, and audio, or reuse owned media through the Media Bank without duplicating immutable bytes across your own Projects.
- Use Delete unused media to review canonically unreferenced Media Bank Assets, select individually or in bulk, and permanently delete them after confirmation. Flowstate rechecks every selected Asset at deletion time and preserves anything referenced by active, recoverable, shared, AI, Workflow, or historical state.
- Switch a PDF-backed File between compact File and resizable native Embedded PDF presentation without creating another Asset.
- Add zero-quota External Media from supported YouTube links or direct HTTPS Video/Audio, with privacy-first click-to-load controls.
- Keep external video/audio stopped until deliberate playback. Choose normal looping or persisted manual Play/Pause mode for GIFs; manual GIFs reload paused on their first frame. Pause retains the displayed frame and Play resumes it.
- Manage Project-specific status and semantic Connection vocabularies with safe replacement when a custom value is already in use.
- Keep System, Light, or Dark theme preference with the signed-in account across devices while retaining instant local startup and offline retry.
Collaboration and sharing
- Share uses clear Can view/Can edit choices, followed by the invitation email. People with access and pending invitations are listed separately from the optional public read-only link.
- Owner-only Integrations groups data sources, Board bindings and outbound webhooks by purpose, with labeled forms, conditional settings and mapping examples. Advanced Project connections remain available for authorized AI tools.
- Invite owners, editors, and viewers with server-enforced project roles.
- Collaborate with live, throttled group-drag previews followed by one canonical final position. Presence keeps independent transport sessions but shows one named coworker/cursor per canonical user across tabs and devices.
- Publish an optional revocable, read-only public project link.
- Control whether public and signed-in viewers can download each Image, Video, or Audio object.
- Choose owner-controlled Enhanced access security per stored Asset: efficient short-lived direct private-S3 delivery by default or immediate per-request Flowstate proxy authorization.
AI interoperability
- Run Local AI privately in your browser with a Light, Strong or Extreme Qwen3.5 model. It uses the same authorized, receipt-verified Project actions as connected AI agents; each device benchmarks and keeps its own recommendation, and failed actions can be retried without an unverified model claim ever becoming Project truth.
- Keep Project secrets such as passwords, API tokens and keys encrypted and write-only, and choose per secret whether AI agents with Edit access may read it through MCP to do the work you ask for, with every read shown to you.
- Save named, encrypted FTPS, MySQL and HTTPS-token Project connections in env format. Enable bounded server operations for Edit MCP agents while keeping credentials out of AI context, forms, copies and exports. FTPS writes require hash checks and verified remote readback; MySQL reads use allowed tables and HTTPS reads use a fixed JSON endpoint. Workflow Agents need an explicit capability.
- Grant time-limited read or edit access to a project without sharing account credentials.
- Use MCP resources and tools across all protocol revisions supported by Flowstate. MCP and Local AI use the same canonical Flowstate tool definitions, operation schemas, authorization, execution, and verified result format while retaining their separate bearer and owner-session security boundaries.
- Give AI agents explicit project instructions and continue conversations through project AI channels.
- Connect Codex, Claude Code, Claude Desktop or any MCP client with ready-to-paste configuration from the AI Access panel; agents read the Project, AI Instructions and Chat through tools and change it only through verified authoring batches.
- Copy any human or assistant AI Chat message as useful plain text. Retry every assistant response against fresh state while verified successful mutations remain single-application effects, and stay pinned to new content only while the reader is already near the bottom.
- Keep one persistent External AI Agent Bridge conversation with zero or more provider-neutral agent connections. Give each connection independent Listener/Responder and Read/Edit permissions, rotate or revoke its separate credentials without losing history, and wake enabled agents only for new human messages through signed public callbacks. Multiple responders may answer the same message without recursive agent wake loops.
- Attach a validated private file, safe public textual URL, or authorized Data Source to a Bridge message. Callback events carry identifiers only; the agent reads the exact authorized attachment through Flowstate MCP resources.
- Let Flowstate AI perform supported single actions or small ordered plans of up to eight canonical operations. Flowstate validates the full plan first, then executes and verifies each step against canonical server state in order. Only a machine-authored verified execution receipt establishes success; model prose cannot. Flowstate stops at the first failure and reports exact partial progress while failures remain visible in AI Chat with safe Retry only when valid.
- Let canonical AI clients declare typed, operation-local references in an atomic batch, then use those references only from later operations in that batch. Dry-run validates a virtual graph; commit assigns server-owned IDs, resolves the same graph atomically, and verifies the complete receipt.
- Attach local TXT, Markdown, JSON, CSV, or HTML without uploading it for AI reading, or explicitly read a public textual URL or an authorized Project Data Source. External content remains untrusted and bounded; current Local AI does not claim PDF/DOCX extraction or image-pixel understanding.
- Revoke AI access while preserving the normal human authorization boundary.
- Run optional Local AI inference on this device through WebGPU on supported hardware, with no API key or AI usage fee. Choose Light (Qwen3.5 2B), Strong (Qwen3.5 4B), or Extreme (Qwen3.5 9B), in that order; each uses the q4f16_1 format and is installed only after an explicit model-download choice. The browser benchmarks locally and recommends only among those three tiers, so different devices may independently recommend and select different models. Local AI and Bridge conversations remain visible even when the selected model is not installed or needs attention. Prompts and Project context are not sent to a third-party AI provider for inference; normal Flowstate Project and AI Chat storage still applies.
Privacy and resilience
- Keep uploaded assets private and authorize them through Flowstate before either exact short-lived private-S3 delivery or enhanced same-origin proxy delivery.
- Continue editing supported operations offline, compare conflicts with current server values, retry or save a reviewed version, download pending changes, or explicitly discard them. Account-scoped offline data clears when signing out.
- Run a self-contained app shell with no advertising, analytics, CDN, or remote font; user-added External Media contacts its provider only after activation or a remembered exact provider/origin choice.
Flowstate is currently a free beta. Features may evolve, and rough edges should be expected.
