Flowstate guide
Record a Project walkthrough
Choose Record project, just below Add Chart, on a standard Board. Choose the current Project tab or window in your browser's sharing picker; enable Include microphone beforehand if you want narration. The floating controls let you pause, resume and stop while you work. After stopping, preview the recording, choose Add to Board to save a normal private Video object on the original Board, or Download video to share the file yourself. You can do both. Return to the original Board before adding.
Recording requires a desktop browser with screen-capture support and permission. It stops after 30 minutes of active recording or approximately 450 MiB. Capture is held in this tab's memory until saved; closing the preview discards that temporary copy. Download or add it before leaving. Uploaded recordings follow the Project's normal media access and storage limits. A downloaded copy is under your control.
Tables and content inside Text
The Table tool creates an ordinary object. Click a cell to edit; Enter moves down and Shift+Enter moves up. Use + Row, + Column, Delete row and Delete column relative to the selected cell/header. Drag numbered row headers or lettered column headers to reorder them. The small cell grip swaps that cell with its drop destination. Drag a column's right edge to resize it. Focused headers support arrow-key reordering, and resize handles support Left/Right. Paste tab-separated rows from a spreadsheet into a cell to fill adjacent cells. Tables support up to 200 rows and 40 columns; Undo/Redo restores edits.
Drag a Task List, Table, Chart, Button, Image, Video (including a recording), Audio, File or Code object onto a Text object. The insertion line shows where it will sit between text lines, with editable text above and below. It is the same object, so its content and connections remain attached. Click it inside the Text to select it and change its own Properties, such as colors, border or shape; right- click it for its own menu. Buttons keep their whole-surface action: use their pencil to edit and reveal the extraction/drag controls. Edit the embedded content directly, use Move to Board, or drag its header grip out to make it standalone again. Copying, moving or trashing the enclosing Text also carries its inline objects; restoring Text restores them. Connections to an inline object meet the enclosing Text's border. Composed objects belong on ordinary Boards; extract them before copying Text into a Workflow Board.
Text titles, colors and corners
A Text with an empty title reads like a plain text box: no title row is shown and Outline and Properties name it by the first words of its text. Right-click and choose Rename to add a title. Set Body to Hide (title only) in Properties for a label whose title sits in the vertical middle; Content alignment still places it left, center or right. Title color is available for every object, and Text color colors Text bodies and Task List items. Images offer Rounded, Square and Circle corners; Circle also makes the Image square.
Every color list starts with Default. Default means "follow the normal rule": text follows the theme and the object's background, a new object's background is white, and an object placed inside a Text uses that Text's Text color when one is chosen. Add Text offers plain Text and a yellow Sticky note; only the Sticky note carries the Note Template.
In a Task List, press Enter to add an empty item directly below the one you are writing. Drag an item by its grip to see the whole row move; a thin gray line shows where it will land.
Selected-text formatting, titles and image detail
Select text in a Text paragraph or heading and right-click to open its formatter. Choose bold, italic, underline, color, size, weight or clear formatting. Ctrl+B, Ctrl+I and Ctrl+U work while editing; macOS supports both Control and Command shortcuts. Properties offers the same text editing. Pasted text is plain text.
Press Enter/Return to finish an object title, or click elsewhere to save it. Escape restores its previous value. The browser tab shows Flowstate - Project name and follows renames. Large image uploads start at a useful size; increasing their object size or Board zoom automatically requests more image detail when the thumbnail is insufficient, including high-density displays. Available detail is limited by the uploaded image's actual resolution.
GIF playback and form controls
Uploaded GIF images animate in Loop mode. In Properties, Appearance separates Background, Border & shape and Playback & display. Manual controls adds Play, Pause and First frame to the image object. Pause holds the displayed frame; Play resumes it and First frame resets and stops. Earlier GIF uploads recover animation from their stored originals automatically; no re-upload is needed. Media Bank thumbnails remain still previews. Saved choices update their visible value.
Dialog fields and actions share consistent sizes, and AI Bridge forms adapt to the width of the dialog, including when resized on desktop.
Edit objects and account settings
Select an object to open Properties. General keeps its title and Template; the object's content follows. Appearance groups Background color, Color strength, background image, border and Shape. Typography controls title/body styles and alignment. Planning contains Status, Priority, dates and progress. Position & size accepts exact Board coordinates and dimensions, with locking and Undo/Redo.
Task Lists have an action menu beside each item for moving it within its parent, indenting, outdenting or deleting it. Deleting a parent keeps its children. Chart Properties supports up to eight series: name each one, then enter one row per label with a numeric value for each series in order, separated by tabs or commas. Blank values create gaps, while zero and negative values stay distinct in Bar and Line charts. All series are displayed. Pie and Donut show a labeled chart for each series and use only positive values, with a notice for excluded negatives. Empty media objects offer Upload file to attach content.
Use Tags in Properties to add, find or remove Project tags; tag edits support Undo/Redo. The Tasks dialog combines Status, Priority, Due and Tag filters.
Account settings groups Profile, Security, Storage & device and Your data. Use the tabs or arrow keys. Dialogs support Escape, backdrop dismissal and desktop resizing; closing a nested confirmation returns to the underlying dialog.
Flowstate is a visual workspace for turning ideas into connected, navigable work. This guide explains the product model and the main workflows without assuming that every project should be organized the same way.
Start with the project structure
- A Project owns its people, settings, revision history, media references, AI access, and a root Board.
- Project folders organize the overview. Opening a Project from a folder records that folder in real browser history, so Back returns there and Forward can reopen the Project; an unavailable folder safely falls back to the overview.
- A Board is an infinite spatial canvas. Place objects freely, zoom between overview and detail, and use the minimap or search to navigate.
- A Frame groups an area and can open a real nested Board. Frames can nest to multiple levels, so structure stays visible instead of becoming a flat collection of pages.
- A Button is a compact action object. It can navigate to another object in the same Project, open a URL, or run an approved manual Workflow. Older Shortcut data opens as the Shortcut action of a Button. Click anywhere on the button to navigate, open, or run. A Shortcut smoothly centers the view on its target and selects it, including targets on another Board. Use the small pencil to open Properties; it appears on hover or keyboard focus and stays visible on touch. Drag the button to move it without running its action. Tab reaches both controls; Enter or Space activates the focused control.
Use Frames when an area needs its own Board and hierarchy. Use an Artboard when you need a flat white drawing or composition surface on the current Board. Create a Workflow when a process needs durable triggers and execution: its Frame opens a specialized Board without creating a second hierarchy.
Build and run a Workflow
A Workflow is executable only when it is the specialized Board owned by its ordinary Frame and its graph passes canonical validation. An Artboard, a set of Text objects, a checklist, or decorative Lines is not a Workflow.
Each cable begins and ends at a named port. Trigger emits out. Agent, Action, Transform, and Wait accept in and emit out. Output accepts in. Condition accepts in and exposes separate green true and danger false outputs. Capability emits a diamond capability port that may connect only to the Agent capabilities port. Solid execution cables schedule work; dashed capability cables only narrow what an Agent may call. Reconnect by dragging the exact endpoint; an incompatible or stale drop leaves the existing cable unchanged.
Authorized AI clients use /context, /capabilities, or MCP discovery before authoring. The advertised v15 operations can dry-run and atomically create the real Workflow, its steps, and exact-port edges with typed same-batch references. They can then validate and read back the canonical definition. Edit grants also receive bounded start/retry/cancel tools; retry reuses the original immutable definition and input. A verified receipt, not assistant prose, establishes success.
Create Workflow from a standard Board, then add one Trigger and one or more Agent, Action, Condition, Transform, Wait, and Output steps. Connect runnable steps with execution edges. Connect Capability nodes only to Agent steps; these links grant a narrower allowlist and never determine run order. Validate the graph, review the requested authority, approve it as the Project owner, and enable unattended Webhook, Schedule or human Project-event execution only when needed.
Inside a Workflow, its controls appear at the top of the left toolbar. Run and Runs keep their labels even when the menu is collapsed. Run shows the named fields configured in the Trigger; older Workflows retain optional Advanced JSON input. Open Runs to see the latest execution automatically: status, time in queue, execution time, verified project changes, and individual steps. Open object takes you to a created/changed object when the verified result supplies its Board and object identity. An object created without content is labeled accordingly. An Output step returns data; it does not automatically create a document or object. Choose Inspect on another run to read it. Expand Bounded input/output under any step for its full recorded data and receipt hash. Expanded results stay open while status updates automatically. Dates and times use your device's time zone. Retry reuses safe idempotency, so a previously verified Action is not applied twice. Local Agent steps wait for an active compatible owner browser; External Agent steps use an enabled Edit-capable Bridge connection. Add a Button with Function / Run Workflow when people need a compact on-Board manual trigger.
Start with a useful result
Create Workflow offers three editable templates alongside Build your own:
| Template | What you enter | Where the result appears | | --- | --- | --- | | Review and save a report | Report title and plain-text content | The owner reviews the preview, then a new Text appears on the original Board. | | Create a Task List | Title and one task per line | A real Task List appears on the original Board. | | Collect open tasks | No required input | Reads up to 25 matching objects and saves an open-task report on the original Board. |
Select an Action and choose Save as Text, Create a Task List, Append to existing Text, Replace existing Text content, or Add tasks to an existing list. Choose its destination by name. These are real Project objects; Output alone keeps returned data in Runs. Existing advanced configurations remain available and retain their geometry and style. Content is plain text, not HTML markup. A save that cannot verify the requested content fails without claiming that it succeeded.
Trigger Properties adds ordinary input fields: short/long text, task lines, number, yes/no, choice or date. Give each field a label and stable key. For example, {{/trigger/title}} inserts the field called title and {{/trigger/items}} passes task lines as an array. {{/input/summary}} inserts the preceding read's summary.
Read and filter Project is an Action that needs no AI. Filter by object type, text and task status; choose a limit and offset. The result includes matching objects, counts and a readable summary. Large results are shortened with notices; inspect has_more, next_offset and the source objects before treating a partial report as complete. Advanced canonical query also supports a Board UUID filter.
Review and find results
Wait → Owner reviews the result pauses with the incoming value visible in Runs. Only the current Project owner can Approve and continue or Reject and stop. Place this Wait before the Actions that need review. Rejection stops later steps; it does not undo earlier saved changes. Authority approval controls what a Workflow may do; result review approves this particular run's content.
Activity in the toolbar collects this Project's runs, prioritizing reviews and active work. Its button appears inside a Workflow or on a Board containing a Workflow Frame. Run, Runs and Activity use the same borderless style as the other tools. View result opens the correct Workflow and run. Queued/Running/Waiting totals and pending or failed human events help explain why work has not finished. The owner can retry a failed event after fixing validation or permissions. Completion notices appear while a Board with Activity is open. There is no email, push or closed-browser notification. Terminal run history and failed pending events are kept for 90 days; save important output as Project content. Active review waits remain waiting until a decision, cancellation or relevant lifecycle change.
Run automatically without an AI service
Choose Schedule, signed Webhook or Project event in the Trigger, approve its authority as owner and Enable. Project events react to human edits or an existing task changing from unchecked to checked, optionally in one chosen object. AI, system and Workflow-control changes do not retrigger these events.
The server runs rules, reads, storage, Actions and scheduling. Background work is checked by maintenance, normally every five minutes; closing your browser does not remove queued server work. Local AI is different: its inference runs in the owner's active compatible browser and starts manually or through an owner Button. External Agent Bridge needs an actual connected agent service. The templates above work without either AI executor or a new external subscription.
Choose the right object
On standard Boards, Add Artboard is directly below Add Frame. The tool order includes Add Chart, Record project, then Add Code in both the left toolbar and the empty-Board tool menu.
Select a Line or Connection and open Appearance in Properties to change its route, line style, thickness and color.
- A Template defines an object's semantic role and behavior. A Preset is only a visual appearance bundle. They are independent: changing a Sticky Note's colors or Preset does not remove its
NoteTemplate. - Text supports Standard and Free text uses. New Sticky Notes use semantic Template
Noteplus the existing Sticky Note visual Preset; straight corners are their default.AI Instructionsis a semantic Template for important connected guidance. AI receives that guidance as authorized, untrusted Project content; it cannot override system rules, permissions, capabilities, or verified-receipt requirements. - New Task Lists use semantic Template
Tasksand a white background. A user may choose another supported Template later in Properties without conflating that role with appearance. - Properties keeps title and body typography separate. Text body placement, Light/Normal/Medium/Bold weight, sizes through 72 px, exact line breaks, normalized hexadecimal colors, title colors, title-only display, and Rounded/Straight corners persist through reload and collaboration. Border Color appears only while a border is active; hiding it does not discard an explicit stored color.
- Every object can use one private Media Bank image as a background behind its normal surface and content. In Properties, choose or upload an image, then set Cover or Contain, Top/Center/Bottom position, and image strength. Replace or remove it without changing the object's normal content attachment.
- Task List keeps checkable multi-level items directly on the Board. Items can be added, renamed, completed, indented with Tab, outdented with Shift+Tab, reordered among siblings, and deleted. Deleting a parent promotes its direct children rather than silently discarding a subtree.
- Image, File, Video, and Audio place private uploaded or reused media in the spatial plan.
- Code preserves exact monospace source as inert text.
- Chart renders Bar, Line, Pie, and Donut data natively. In Properties > Data, write one row per label followed by its value(s), for example
Elephants 50; spaces, tabs, commas and semicolons all work, and12,5is read as a decimal number. - Frame creates hierarchy and a nested Board.
- Artboard provides a white surface for pencil, shape, line, arrow, selection, movement, and erasing tools.
Objects, Connections, free lines, and Artboard marks share one visual layer order. Move an object forward or backward one exact step when compositions overlap.
Copy uses a structured object graph rather than rendered HTML. Select objects and press Ctrl/Cmd+C, or right-click and choose Copy; paste with Ctrl/Cmd+V or right-click Paste, on any Board, in another Project where you are an Owner or Editor, or in another browser tab or window. Copying and pasting within or between authorized Boards preserves supported content, hierarchy, Templates, appearance, relative positions, internal Connections, Line geometry, Tasks, and reusable authorized Assets. Paste assigns new server-owned IDs and omits relations whose other endpoint was not copied. Normal text selection and the AI composer retain the browser's ordinary clipboard. Between Projects, Tags become the other Project's Tags. Workflows, Shortcut and Workflow Buttons and References only work in their own Project, so a copy that contains them is not pasted; leave them out. Images, files, video and audio can be pasted between Projects you own and count toward that Project's storage.
Connect and route ideas
Connections join two objects and can carry a relationship type, label, direction, color, line style, and thickness. A Project owner can manage the relationship vocabulary in Project Settings.
- Straight draws the direct route.
- Curved draws a smooth route and remains smooth when you add or move waypoints.
- Smart Curved and Smart orthogonal calculate routes around the current layout.
- Manual uses explicit piecewise waypoint segments.
When a selected Line and its selected endpoints move as a group, explicit route points move in the same coordinate space and retain the Line's shape. Moving an endpoint alone keeps the established endpoint behavior, and individual route points remain editable.
Click Snap at the bottom of the left toolbar to choose Project default, Everything, Objects only, Grid only or Off for this device. Object snapping aligns edges and centers, offers spacing you already use between objects (shown with a labelled guide), centers an object between two neighbours and matches existing widths and heights while resizing. Nearby objects win; far objects only pull strongly when little is nearby. Line angles snap to 45-degree steps unless Snap is Off. Project Settings > Grid and snapping decides whether the 20-pixel grid is shown and which snapping the Project default uses. Tasks, Timeline and Outline sit together above Focus mode and Snap.
Plan and review work
Tasks opens up to 960px wide when the screen allows it, with Status, Priority, Due, Tag and View together in one row. Narrower dialogs wrap these labeled filters into three or two columns; task results remain scrollable. Filters combine as before and List/Board changes only how the results are shown.
Give task-capable objects a status, priority, dates, and progress. The Tasks view groups Task Lists beneath their complete Frame hierarchy and can also show independent task objects. The Timeline projects dated work onto a navigable time axis while retaining each item's Board and Frame location. Date labels adapt to the available space as you zoom or resize; every item's exact date position is retained.
Project-specific statuses can be added, reordered, renamed, and safely replaced when a value is already in use. Search and Outline offer faster navigation when a Board becomes large.
Sketch and compose with Artboards
Select an Artboard to open its sketch tools. Draw directly across its white surface, including through areas visually occupied by later Image or other object layers. New marks receive their own place in the shared layer order, so drawing does not flatten or reorder existing content.
Artboard membership is separate from visual overlap. Moving a normal object onto an Artboard can add it as a member while the object keeps its own geometry and layer.
Artboard headers remain readable in either theme, grow only to the Artboard's available width, and expose a complete truncated title while editing or by tooltip. Focus Mode keeps a selected Artboard and its visible descendants in focus. Object content may resize, but Flowstate's header chrome does not scale with PDF or other container content.
Work with media
Upload private Image, File, Video, or Audio content, or choose an owned asset from Media Bank. Reusing an asset avoids duplicating its immutable stored bytes within your account. Project duplication includes attached and unattached Project media while keeping the new Project independently manageable.
Media Bank's Delete unused media dialog lists only Assets for which Flowstate can prove zero references across active and recoverable Project content, revisions, sharing, AI/Bridge/MCP messages, Buttons, Workflow state, and other canonical relationships. Choose individual Assets, Select all, or Clear, then confirm the exact count. Continue scanning advances through further owned media; an empty partial page does not mean the full collection is checked. Deletion is permanent. The server rechecks each Asset immediately before removing its private stored files and metadata; stale or ambiguous items fail closed while unrelated Assets remain untouched.
A PDF-backed File can stay a compact File or use Embedded PDF presentation on the Board. Embedded mode uses the browser's native PDF viewer inside a resizable object while Flowstate continues authorizing the same private Asset.
Supported external Video and Audio links use no storage quota. Provider content stays inactive until you choose to load it, or until this browser has a narrowly remembered choice for that provider or origin.
External video and audio never autoplay on Board open, navigation, rerender, or unrelated object interaction; playback requires a deliberate media action. GIFs normally loop. Properties can instead persist Manual playback, which displays a Play/Pause control and starts paused on the first frame after each reload.
Collaborate and share
The owner opens Share, chooses Can view or Can edit, then enters the person's email below those choices and selects Send invitation. Can view is the default. Editors can add and change Project content; sharing and settings stay with the owner. Existing collaborators and pending invitations appear below. The separate Public project link section is for anyone-with-the-link viewing without sign-in; enabling it still requires explicit confirmation. Project roles are enforced on the server, live presence shows active collaborators, and project changes reconcile in real time.
During a group drag, collaborators receive coalesced ephemeral previews of all moved objects, followed by one authorized canonical final position. These previews are not durable writes and cannot bypass final authorization. Separate tabs, windows, and devices retain independent network sessions for reliability, but the roster and cursor layer aggregate them into one named visible coworker per canonical user until that user's final session expires.
An owner can publish a revocable read-only Project link. Download permission for each public or signed-in Image, Video, or Audio object remains owner controlled.
View-only users can double-click a Frame to enter its nested Board because that is navigation, not mutation. All edits remain rejected by the server.
Connect Codex, Claude Code or Claude Desktop
Open AI > Access, choose Read or Can edit and create access. The setup box contains ready-to-paste configuration with your token:
- Codex: add the
[mcp_servers.flowstate]block to~/.codex/config.toml. - Claude Code: run the printed
claude mcp add --transport http ...command. - Claude Desktop: add the printed
mcpServersblock toclaude_desktop_config.jsonand restart it. It usesmcp-remotethroughnpx, so Node.js must be installed. Desktop's own "custom connector" form expects OAuth, which Flowstate does not use.
Then ask the agent to start with flowstate_read_project_context. Agents read the owner's AI Instructions, the AI Chat and the exact authoring rules with flowstate_read_resource, and change content only with flowstate_apply_mutation_batch. The token expires as chosen; revoke it from the same panel. Keep it private: anyone holding it has that access until it expires.
Integrations
The Project owner opens Integrations beside AI. Expand the section for what you want to do; each section shows how many connections of that kind exist.
- Bring in data adds an external source. Choose Read from an API (REST JSON) and enter its HTTPS URL, authentication if required, and refresh timing. Or choose Receive updates (incoming webhook) to get a private URL for another app to send JSON to. The incoming URL is shown once after saving.
- Show data on your Board connects a saved source to a Text value, Chart or Table block on the current Board. Choose the source and object, then describe the fields using a JSON mapping. Mapping examples shows Text, Chart and Table examples. Object Properties > Object Data can open the matching binding directly. Convert to static keeps the displayed data as normal content.
- Send updates to other apps adds an outbound webhook URL and lets you choose Project content changes, data refreshes or AI Chat messages. These are generic signed webhooks for services such as Zapier, Make and n8n, not official app integrations. Copy the signing secret when it is first shown.
Project connections for AI tools opens the separate advanced setup for FTPS, MySQL and API operations described below. It does not grant AI access by itself. Existing sources, bindings and webhooks retain their Edit, refresh, conversion, revocation and deletion controls. Forms have visible labels and adapt to the available dialog width. Native section headings work with Enter or Space; Escape closes the dialog and returns focus to its opening control.
Keep Project secrets for AI agents
Integrations > Manage secrets keeps passwords, tokens and keys for a Project in one encrypted place, for example a customer's FTP login or an API token.
1. Enter a Name in capital letters, digits and underscores, such as CUSTOMER_FTP_PASSWORD. Agents ask for secrets by this name. 2. Add a Description that tells an agent what it is for, for example the FTP host and user name. 3. Enter the Value. Turn on Multi-line value for a private key. 4. Tick AI with Edit access may read this value only for secrets an agent needs. It is off by default.
Saved values are never shown again, not even to you; to change one, enter a new value. An external AI agent you connect with Edit access (for example Claude Code or Codex through MCP) can list the names and descriptions of shared secrets and read a value with the flowstate_read_project_secret tool. Each secret shows how many times and when an AI read it. A value an AI has read has left Flowstate and stays with that AI provider, so turn sharing off and change the password or token at its source when that access should end. Read-only AI access, Local AI and Workflow Agents cannot read secrets. Secrets are never included in copies, exports or history.
Save Project service credentials for MCP
The Project owner can open Integrations > Manage connections to save a named FTPS, MySQL or HTTPS API connection. Paste KEY=value lines or load a local env file. Flowstate encrypts the saved values. Editing shows an empty configuration field: leave it empty to keep the saved values, or enter the complete replacement. Credentials are never returned to the AI, browser form, Project export or copy.
Enable each allowed AI action explicitly. FTPS supports listing and reading text files, plus separately enabled writes within the configured folder. Use a dedicated FTP account restricted to that folder; verified TLS is required. MySQL supports named columns and equality filters from the DB_TABLES allowlist, with at most 100 rows per call. It requires a public database endpoint with a trusted TLS certificate and supports no arbitrary SQL or database writes. HTTPS supports GET of one fixed JSON endpoint with a Bearer token or configured token header.
An MCP agent needs current Edit access and uses flowstate_use_project_connection. It first lists enabled connections, then names one connection UUID and action. Read grants and Bridge listeners cannot use them. A Workflow Agent additionally needs the connection capability in its owner-approved allowlist. Ordinary Local AI Chat does not plan these external operations.
FTPS writes require the previous file's SHA-256, or null for a new file. Flowstate checks the saved bytes before reporting success. A failed write may still have changed the remote file, so read it again before retrying. File/JSON responses are limited to 512 KiB; hidden and credential-file paths are excluded. External content can itself be private: choose restricted accounts and destinations deliberately.
Completed-call responses are encrypted and retained for safe replay until the connection is deleted. Each connection supports 1,000 completed calls; create a replacement connection when that limit is reached. Changing or disabling a saved permission applies to subsequent calls and replay. Deleting removes its saved credentials and call history. These settings are separate from AI access tokens.
Work with AI
Time-limited AI grants can expose Project context and tools without sharing account credentials. Project Instructions provide owner-authored Markdown guidance, and Project AI Chat keeps its conversation in the normal Project storage model.
Local AI is optional and runs inference through WebGPU in a supported browser after an explicit model download. The choices are Light (Qwen3.5 2B), Strong (Qwen3.5 4B), and Extreme (Qwen3.5 9B), all in the q4f16_1 format. The recommendation and manual selection are device specific; tier order describes capability and resource demand, not a promise that every device decodes the tiers in the same speed order.
The assistant's product identity is Flowstate AI; Local AI names the execution channel. For a supported Board action, success appears only after Flowstate's canonical server state verifies the change. A tool failure stays in the Chat history and may offer Retry when the original operation is safe to repeat. AI answers support a small sanitized Markdown subset.
Every human and assistant message has Copy. Assistant messages also show Retry: failed or read-only turns can be evaluated from their durable originating human request and fresh canonical state, while a verified successful mutation is revalidated or re-explained without silently applying it twice. Chat follows new streamed content only while the reader is already near the bottom.
Attach can read local TXT, Markdown, JSON, CSV, and HTML in the browser without uploading those file bytes. URL reads go through Flowstate's restricted public- text fetcher, and Data source reads use the Project's already-authorized server integration without exposing its credentials to the model/browser Worker. All Project and external content remains untrusted data. This Local AI release is text-only: it does not extract PDF/DOCX text or inspect image pixels.
MCP and authorized Local AI, Bridge, Workflow, and Button calls share Flowstate's canonical tool definitions, permission checks, execution, and verified receipts. Atomic tool batches may name a newly created object with a typed operation-local reference and use it from later operations in that same batch, for example, to connect two new nodes. Dry-run validates the virtual graph without persistence; commit assigns server-owned IDs and rolls the complete batch back on failure.
The External AI Agent Bridge keeps one Project conversation with zero or more provider-neutral connections. Each connection has independent Listener or Responder and Read or Edit permissions, identifies its provider/runner, and can rotate or revoke credentials without deleting the transcript. Signed callbacks wake enabled responders for new human messages without recursive agent loops; events contain scoped identifiers rather than credentials or private file URLs.
Save, move, and recover work
Flowstate keeps Project revision history. Export a Project as JSON, ZIP, or Markdown; import supported JSON snapshots and ZIP exports when you need to move or restore work. Offline-capable edits queue locally and reconcile after the connection returns.
Successful edits also create automatic recovery points, grouped per editor over two minutes and kept for up to 30 days, with at most 100 automatic points per Project. Save a named recovery point when you need to keep one beyond that window.
If a saved change conflicts with newer server data, open Settings > Storage & device > Review pending changes. Compare Your change with Current value, retry, download the queue as JSON, discard a selected change or choose Save my version. Saving uses the reviewed version; another intervening edit stops it again. Later queued edits to the same object retry in order. Pending work is not reported as fully saved. Signing out or clearing offline data asks before discarding unsynced changes and removes the account's private offline data from this browser.
Drag with two fingers on a trackpad or touch screen to move the Board left, right, up, down or diagonally. On a touch screen, adding the second finger cancels an unfinished object move, resize or drawing before navigation starts. Pinch with two fingers to zoom inside the active Board.
A standard mouse wheel still zooms around the pointer. Some high-resolution mice report smooth scrolling like a trackpad and may pan; use Ctrl+wheel or the zoom buttons to zoom explicitly. Cmd-wheel remains available to browser/system zoom, and scrollable panels keep ordinary scrolling. The short mouse-wheel zoom animation remains, while objects keep complete content and controls at every zoom level.
Using Flowstate on a tablet
Tablets keep the full editor with touch-friendly details:
- Press and hold an object for its menu (the same one right-click opens on a computer), a Connection for its Connection menu, or empty Board for the Board tools. Lifting your finger never picks a menu item by itself.
- Resize handles, Connect points and route handles are larger, and the selected Task List shows its reorder and delete buttons without hovering.
- In portrait on a large tablet, Properties slides over the right side of the Board so the Board keeps its full width.
- Two fingers pan and pinch zoom as on phones.
Using Flowstate on a phone
On a phone Flowstate uses its own touch layout. Tablets and computers keep the full editor.
- Start with Today. Opening a Project on a phone shows Today first: counts for Overdue, Today and Open tasks, then overdue tasks, what is due or running today, the next 7 days, work in progress and your open Task Lists. Check off Task List items right there, tap anything to jump to it on its Board, or tap Board to go to the Board. All tasks and Full timeline open the complete views.
- Move around safely. Drag with one finger to pan, even when you start on an object that is not selected; nothing moves by accident. Pinch or use two fingers to zoom and pan.
- Select first, then change. A short tap selects an object and shows a bar with its name and the actions Edit, Open (Frames), Properties and Actions, plus × to clear the selection. Tap empty Board to deselect. Buttons, links and Frame open buttons still work with a tap.
- Move and resize. Drag the selected object to move it, or drag the round handle at its corner to resize it. A second finger cancels the change. After each move, resize or delete a message offers Undo.
- Edit text and lists. Edit opens only the selected Text, Task List or Table for typing, with a bar above the keyboard for Bold, Italic, Underline and Done. Other objects stay protected while you type.
- Press and hold an object to open its actions (Copy, Rename, Duplicate, Lock, Delete and more) as a sheet at the bottom. Cancel or Back closes it.
- Add in the dock places a new Frame, Text, Task List, Table, Media, File, Button, Chart or Code object in the middle of the screen and selects it.
- Properties only opens when you tap it, fills the screen, and closes with Done or your phone's Back gesture.
- Timeline is an agenda (Earlier, In progress, Today, Next 7 days, Later) and Tasks keeps its filters behind Filters. Search is in the header next to Undo and Redo.
- More holds Outline, Share, AI, theme, Account settings, All projects and Sign out.
- Back always closes the open view first, so you stay in your Project.
- Connect and draw lines with two taps. Select an object and tap Connect, then tap the object to connect it to. Or tap Add > Line, tap where the line starts and where it ends: two objects make a Connection, a spot on the Board makes a free line end there. You can still pan and zoom between the taps, and Cancel or Back stops. Select a Connection or line to drag its large round handles.
Some things stay on tablets and computers for now and are shown as Available on desktop: drawing on Artboards, building Workflows, recording the screen and setting up Integrations. Running Workflows and reading their Runs work on phones.
Common questions
Is Flowstate free?
Flowstate is currently a free beta. Features can evolve and rough edges should be expected.
Does Flowstate require a cloud AI provider?
No. AI access is optional. Local AI can run model inference in a supported browser without an API key, while ordinary Project and AI Chat storage still follows Flowstate's normal storage behavior.
Local text attachments supported by AI Chat are read in this browser and are not uploaded. Choosing a URL or Project Data source deliberately asks the Flowstate server to retrieve that source through its existing authorization and network-safety boundaries; the resulting bounded text becomes Local AI context.
Are uploaded files public?
No. Uploaded assets are private by default. Flowstate authorizes access before direct short-lived private delivery or enhanced same-origin proxy delivery.
Does a Frame merely draw a box?
No. A Frame is the visible entry into a real nested Board and participates in the Project hierarchy. Use an Artboard for a flat drawing surface instead.
